Clever - Giving Substitute access to Clever

Overview

Clever's substitute access feature makes it easy for you to securely provide temporary access to your resources on Clever for your short-term substitute. Instead of sharing your personal login credentials, you can now generate a Sub Badge that allows substitutes to log in and view the resources and Teacher Page you have provided them access to. This allows you to maintain secure credentials while also giving substitutes the tools they need to manage your online resources effectively for the day.

 

How to set it up

Provide your substitute access to your resources and Teacher Page on Clever by following the steps below:

  1. Log in to your Clever Portal.

  2. Navigate to Pages > Teacher Pages on the left side of your Clever Portal.

  3. Click on the Teacher Page you want to provide the substitute access to.

  4. In the top right-hand corner, click Share with substitute.

  1. This will take you to a preview of what the substitute will see when they log in with their Badge. In the image below, Google is greyed out. For security purposes, the subset of “restricted impersonation” apps will not be accessible. Restricted impersonation apps include Google Suite, PowerSchool, and any other applications set by your school’s Clever Admin.

  1. To generate a Sub Badge that will provide login access for the substitute, click Create Substitute Badge and select the date you want the Badge to expire. The expiration date must be within 14 days.

  1. Once the date is selected, click Create Substitute Badge to confirm the date.
  2. Now you are ready to click Download Substitute Badge to download the Badge to your computer.
  3. Provide the For Substitutes: Substitute Access to Clever Help Center article to your substitute for extra information and instructions.

The substitute experience

Substitutes will scan their Sub Badge to access Clever and will be limited to viewing only the Teacher Page you provided them access to. From there, they can log into and use any applications available on that page as the main teacher. For security reasons, certain "restricted impersonation" apps will not be accessible to substitutes, but students will still be able to use these apps from their own Clever Portal. This includes Google Suite applications, PowerSchool, and any other applications set by your school's Clever Admin.

Frequently Asked Questions (FAQs)

Can I create more than one Sub Badge at a time?

  • For security purposes, only 1 Substitute Badge can be created at a time, even if you have more than one Teacher Page. If you have multiple Teacher Pages that need to be shared, we recommend creating a Teacher Page that houses all of the resources in one and sharing that page. 

Can subs use a Badge to access/log into their Chromebook?

  • Not at this time, no. We recommend providing guest access to a device and then having a sub go to clever.com/badges.

What if a sub’s device doesn't have a camera? 

  • At this time, Sub Badges are only available as QR codes, so the sub’s device must have some sort of camera to scan the Badge.

How should I provide the Sub Badge to the substitute? 

  • We suggest including it in your sub plans!

Will subs be able to access every application on my Teacher Page?

  • No. Clever doesn’t allow substitutes to access Google or PowerSchool applications by default for security reasons. Your Clever Admin may also add additional applications to the restricted app list. The substitute will see these apps greyed out with a note that they are inaccessible to the substitute.

Will subs be able to access everything I can access in the third party apps they have access to?

  • Yes, any applications on the Teacher Page will be accessible to the sub. When the sub accesses the application, they'll be logged in as you, the main teacher. Greyed-out applications are inaccessible to subs, as set by your Clever Admin.

How long can I give subs access to my Teacher Page?

  • You can grant subs access for up to 14 days, allowing you to set a custom date within that timeframe.

Can I void a Badge ahead of the expiration date?

  • Yes, you can void a Badge at any time. To void the Sub Badge navigate to your shared Teacher Page, click Share with Substitute, then click Void Badge.
